Job Summary:  

We are seeking a highly organized and detail-oriented professional to join our team as a Bookkeeper & Executive Assistant. In this dual-role position, you will be responsible for maintaining accurate financial records and performing key bookkeeping tasks, with a focus on proficiency in QuickBooks. Additionally, you will serve as an Executive Assistant, supporting senior leadership with administrative and operational needs. This is a dynamic role ideal for someone who thrives in a fast-paced environment and enjoys balancing financial and administrative responsibilities.

 

Key Responsibilities:  

 

 Bookkeeping Duties (Primary Role) 

- Maintain accurate financial records and ensure compliance with all relevant regulations.

- Manage accounts payable and receivable, including invoice processing and payments.

- Reconcile bank and credit card statements on a monthly basis.

- Prepare financial reports, including profit and loss statements, balance sheets, and cash flow statements.

- Handle payroll processing and related tax filings.

- Manage and update QuickBooks to ensure data accuracy and integrity.

- Assist with budget preparation and financial forecasting.

- Coordinate with external accountants during tax preparation or audits.

 

 Executive Assistant Duties (Secondary Role) 

- Manage and prioritize the executive’s calendar, including scheduling meetings, appointments, and travel arrangements.

- Deploy trainings with reps to ensure competency

- Manage time off requests from reps and ensure they are properly logged

- Check in with reps on a regular basis to ensure their well being

- Prepare meeting agendas, presentations, and correspondence as needed.

- Serve as a point of contact between executives, team members, and external stakeholders.

- Conduct research and compile data to support decision-making processes.

- Oversee and manage office operations, including ordering supplies and coordinating vendor services.

- Handle confidential information with discretion and professionalism.

- Assist with special projects and tasks as assigned by leadership.

  Qualifications:  

- Proven experience as a Bookkeeper with strong proficiency in QuickBooks (certification preferred).

- Solid understanding of accounting principles and financial reporting.

- Previous experience as an Executive Assistant or in a similar administrative role.

- Excellent organizational and multitasking skills.

- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

- Ability to handle sensitive information with confidentiality.

- Exceptional communication skills, both written and verbal.

- Ability to work independently and collaboratively in a team environment.

- Detail-oriented with a commitment to accuracy and efficiency.

  Preferred Qualifications:  

- Experience in bookkeeping.

- Knowledge of Quickbooks and Deel 

- Bachelor’s degree in Accounting, Finance, Business Administration, or a related field.
